Art of Senso — Membership Terms & Conditions

These Terms & Conditions form a legally binding agreement between you (“the Member”) and Art of Senso Martial Arts Academy (“Art of Senso”, “we”, “us”). By becoming a member, you agree to comply with these Terms & Conditions.

Our aim is to provide a safe, professional, and welcoming environment for everyone who trains at Art of Senso.

1. Membership, Payments & Refunds

• 1.1 Memberships are rolling monthly agreements and continue until cancelled in accordance with Clause 2.
• 1.2 Membership fees are collected automatically on the 1st of each month from the saved card on file via our secure payment processor, Stripe.
• 1.3 Members must maintain valid card details on file at all times.
• 1.4 If payment is not received by the 5th of the month, your membership will be suspended until payment is received in full.
• 1.5 If payment remains outstanding by the 10th of the month, your membership will be cancelled. Any unpaid fees remain due and must be cleared before returning to train.
• 1.6 Membership fees are payable in full regardless of attendance.
• 1.7 No refunds or credits will be issued for non-attendance unless a freeze has been approved under Clause 3.
• 1.8 Membership fees are non-refundable once a billing cycle has started.

2. Cancellations

• 2.1 A minimum of one full calendar month’s notice is required to cancel your membership.
• 2.2 All cancellation requests must be submitted by email to membership@artofsenso.com or hello@artofsenso.com. Requests made via phone, text, social media, or in person will not be accepted.
• 2.3 Notice is effective from the date your email is received. Your membership remains active and billable until the end of the following full billing month.

Example: If you cancel on 10 March, your membership remains active until 30 April and you will be billed in full on 1 April.

• 2.4 Your final month’s fee is payable in full, regardless of attendance.
• 2.5 A £25 rejoining fee applies if you return after cancellation.
• 2.6 Cancelling your card payment or failing to pay does not count as cancellation. The required notice still applies, and fees remain payable until written cancellation is confirmed.

3. Freezes

• 3.1 Membership freezes may be requested for personal, medical, or travel reasons at Art of Senso’s discretion.
• 3.2 The minimum freeze term is four consecutive weeks.
• 3.3 All freeze requests must be made by email to membership@artofsenso.com and approved in writing.
• 3.4 Freeze periods cannot be backdated and begin no earlier than one full month after approval.
• 3.5 If a freeze starts mid-month, any unused days will be credited and applied automatically when your membership restarts. Credits apply to future training fees only and are not refundable.
• 3.6 A £25 freeze fee applies per freeze period.
• 3.7 The maximum freeze duration is three months. If your membership is not reactivated within this time, it will be treated as a cancellation, and a rejoining fee will apply if you return.

4. Upgrades & Downgrades

• 4.1 You may request to upgrade or downgrade your membership (e.g., All Access, Grappling-Only, MMA-Only, Youth Programme).
• 4.2 At least 7 days’ notice is required before your next billing date for changes to take effect in the following billing cycle.

5. Attendance, Conduct & Safety

• 5.1 All members must check in before every class using the front desk or digital sign-in system.
• 5.2 Members must follow all coach instructions to ensure the safety of themselves and others.
• 5.3 Any injuries or medical issues must be reported immediately to a coach.
• 5.4 Unsafe training, misuse of technique, or ignoring instruction may result in removal from class or termination of membership.
• 5.5 Members must treat coaches, staff, and fellow students with respect and professionalism at all times.
• 5.6 Aggressive, disrespectful, or disruptive behaviour will result in immediate suspension or cancellation of membership without refund.

6. Hygiene & Mat Safety

• 6.1 All members must maintain high hygiene standards:
  • Clean training attire for every class
  • Trimmed nails and no jewellery
  • Footwear worn off-mat only
  • No training with illness, contagious skin conditions, or open wounds
• 6.2 Art of Senso reserves the right to refuse entry or suspend training if hygiene standards are not met.

7. Youth Members & Parents (Ages 5–15)

• 7.1 Parents/guardians are responsible for children before and after class. Art of Senso staff are responsible only during scheduled class times.
• 7.2 Parents must remain on-site unless their child is old enough to use facilities independently. Coaches and staff cannot escort children to the toilet.
• 7.3 If your child attends multiple classes back-to-back, parents/guardians must accompany them between sessions.
• 7.4 Parents are welcome to observe quietly from designated viewing areas.

8. Personal Belongings, Parking & Facilities

• 8.1 All personal belongings are the responsibility of the member. Art of Senso is not liable for lost, stolen, or damaged items.
• 8.2 Members may use storage areas at their own risk and are encouraged to bring their own padlock.
• 8.3 Bicycles and vehicles must be parked in designated areas. Art of Senso is not responsible for parking fines, theft, or damage.

9. Photography & Media

• 9.1 Members may take photos or short clips for personal use, provided it does not disrupt class or make others uncomfortable.
• 9.2 Filming or photographing anyone without consent is strictly prohibited.
• 9.3 Taking or sharing images of minors other than your own child is strictly prohibited without written consent from their parent or guardian.
• 9.4 Members must obtain consent from anyone identifiable before posting photos or videos online.
• 9.5 Art of Senso reserves the right to request removal of any content that breaches privacy, misrepresents the academy, or violates these Terms.
• 9.6 Breaching this clause may result in suspension or termination of membership without refund.

10. Changes to Terms

• 10.1 Art of Senso may update these Terms & Conditions with reasonable notice. Continued membership constitutes acceptance of any updated terms.

These Terms & Conditions are designed to ensure safety, fairness, and professionalism across all Art of Senso classes. Our priority is to create an environment where everyone can train, learn, and grow with discipline and respect.
